How to use the Leave balance calculator correctly
The leave-balance calculator estimates accrued and remaining annual leave from service dates, the chosen annual entitlement, used days, and any carried balance. It supports planning and HR-record checks but cannot see employer policy, approvals, historic adjustments, or other leave types.
Before you start
Use the official employment start date, annual entitlement stated in the contract or HR system, approved leave used, and any confirmed carried balance. Keep pending requests separate until they are approved.
- Contractual annual entitlement and the employment start date.
- Confirmed leave used, approved carry-over, and the date of the balance check.
- The employer policy for accrual, expiry, joining-year treatment, and part-months.
How to use it
- Set the balance date and select the entitlement supported by contract and policy.
- Enter completed accrual periods, approved carry-over, and leave actually used.
- Read accrued, available, and overused values separately and note rounding assumptions.
- Compare the result with HR records and resolve joining-year or expiry differences in writing.
Example and interpretation
An employee enters six completed accrual months, used days, and a confirmed carried balance. If the HR system shows a different number, they compare the entitlement rule and accrual method rather than assuming the system or calculator is automatically wrong.
The balance shows the effect of the selected accrual assumptions. A difference with HR may come from carry-over, expiry, joining-year treatment, part-month rules, or data timing.
Limits
Accrual method, carry-over, the contract, and employer policy can change the result. The employer's official record and current applicable rules take priority over a personal estimate.
Privacy: The leave-balance calculator does not need identity numbers, passwords, bank details, medical records, private referee data, or confidential employer material. Replace names and restricted figures with neutral examples wherever possible.
Pre-use review checklist
- Every name, date, amount, title, and claim used by the leave-balance calculator matches the current source.
- The leave-balance calculator result answers the original goal and does not add an experience, entitlement, or promise that was not supplied.
- For the leave-balance calculator, assumptions and missing information are visible, and any legal or financial point has been checked against the latest official source.
- Sensitive, irrelevant, or third-party information has been removed before the leave-balance calculator result is saved or shared.
Review the leave-balance calculator result once as its intended reader. For the leave-balance calculator, check facts first, then relevance, wording, layout, and privacy in separate passes; ask a qualified person to review a difficult-to-reverse decision.
